4. Our lawful bases
We only process personal information where we have a lawful basis to do so.
Depending on the circumstances, we may rely on:
Contract
Where processing is necessary to take steps at your request before entering into a contract or to provide a service you have purchased.
For example, we need information from your Project Brief to provide Project Setup or Project Rescue Review.

Where we rely on consent, you can withdraw it at any time.

The documents you provide may contain information about employees, contractors, customers, suppliers or other people involved in your project.
Please only provide personal information that is reasonably necessary for us to carry out the service and which you are entitled to share with us.
In some engagements, Project Help Desk may process personal information on behalf of a client rather than for our own purposes. Where appropriate, additional data-processing terms may form part of our agreement with that client.

The ICO requires privacy notices to explain the recipients, or categories of recipients, with whom personal data may be shared.
Â
7. International data transfers
Some of the technology providers used by Project Help Desk may store or process information outside the United Kingdom.
Where personal information is transferred internationally, we will rely on an appropriate mechanism permitted under UK data protection law and take reasonable steps to ensure appropriate safeguards are in place.
Â
8. How long we keep your information
We do not keep personal information indefinitely.
As a general rule:
General enquiries: normally up to 12 months after the last meaningful contact.
Client contracts, transaction records and core business correspondence: normally up to 6 years after the client relationship ends, where appropriate for legal, accounting or contractual purposes.
Project working documents: normally deleted when they are no longer reasonably required for the engagement, unless there is a legitimate or legal reason to retain them.
Marketing information: until you unsubscribe, withdraw consent or we determine that the information is no longer required.
Individual records may be retained for a shorter or longer period where there is a legitimate reason to do so.
9. Marketing
We may send you marketing communications where you have asked to receive them or where we are otherwise legally permitted to do so.
You can unsubscribe from marketing communications at any time by:
-
using the unsubscribe option included in the communication; or
-
emailing hello@projecthelpdesk.co.uk.
Withdrawing from marketing will not prevent us from sending necessary communications relating to a service you have purchased or booked.

Where required, non-essential cookies will only be used after you have provided the appropriate consent.
